Warranty - Parts Return and Retention

SUBJECT: RETENTION OF WARRANTY PARTS AND DEALER PARTS RETURN SHIPMENTS.


Please be reminded that Toyota's warranty policy stipulations as detailed in section 10 of the 1990 Warranty Policy and Procedures manual require that

^ All parts (except for remanufactured parts cores) which were removed from a vehicle as a result of a warranty repair must be retained by the dealership for a period of 60 days from the payment notification date for the claim. Remanufactured parts cores must be shipped immediately to the applicable remanufacturing center.

Furthermore, these stipulations state that

^ In those cases where Toyota requests parts under the Dealer Parts Return Program, ALL parts which were removed from a vehicle as a result of a warranty repair, must be shipped to the Toyota Parts Inspection Center, and not just the part which is identified as the "Original Part Number" on the summary sheet and the blue parts tag.

The example provided in the attachment will facilitate proper parts retention and compliance with parts shipping requirements.

This bulletin should be filed in section 10 of the Warranty Policy and Procedures Manual.
E X A M P L E


A. The Repair order No. 4878, states that the connecting rod broke and damaged the engine.

B. Claim No. 038889 is submitted to TMS-USA, and since the connecting rod was the cause of the defect, its part number is entered on the claim under "Original Part Number".

However, when the connecting rod broke, other parts of the engine suffered damage and had to be replaced.

As a result, the repair order and the claim list the following parts:

C. TOYOTA PARTS RECOVERY REQUEST

With the Dealer Parts Return Program Summary and the blue Warranty Parts Tag, Toyota notifies the dealership that the parts for Claim No. 038889/R.O. No. 4878, have to be shipped to the Parts Inspection Center.

The summary and the blue tag list only the "Original Part Number" as the main identifier for the warranty parts recovery process.

However, ALL parts that were removed as a result of the repair have to be shipped to the Parts Inspection Center.
